PWG tip number 3 for #HappyHolidays

Dr. Eileen’s advice: Remember to enjoy the positive spirit of the holidays enjoying good meals and time with family and friends.  Here are some of her suggestions to keep the holiday spirit alive and well in your house this season:

  • have a family day outing or activity that doesn’t involve screens
  • cook a special meal together, for example her family is cooking up a Thanksgiving feast in December since everyone can be home
  • make homemade ornaments
  • cutting down and decorating the Christmas tree

We wish you and your family a very happy and healthy holiday season!

PWG tip number 2 for #HappyHolidays

It’s the Holiday Season, and it can be hard to stay in the holiday spirit while doing all the “adult-ing” that needs to be done. Dr. Sue offers up this advice:

Bake with your kids! It’s one of her family’s holiday traditions, and it gives her family a chance to spend quality time with each other. The kids love to help, and everyone gets to enjoy delicious treats.

We wish you and your family a very happy and healthy holiday season!

PWG tip number 1 for #Happy Holidays

The holiday season can be a time of great joy, but also great stress. It can be easy to lose sight of “the reason for the season” as we try and juggle all the competing demands on our time…decorating, shopping, celebrating…all the “holiday-ing” that we look forward to all year can be a little overwhelming. Children are a great reminder that there can be magic in this season as well.  We wanted to offer up some ideas to help your family find more joy in the season. Hope you enjoy them, please drop us a line and let us know if they helped you.  This one is from Dr. Parker, and we think it is a perfect prescription for happy holidays!

Watch:  Charlie Brown Christmas, Christmas Eve on Sesame Street

Listen to:  Charlie Brown Christmas Soundtrack, Bruce Springsteen’s ‘Merry Christmas, Baby’ and ‘Santa Claus is Coming to Town’ (these should be played loudly), Band Aid’s ‘Do They Know It’s Christmas?’, Chuck Berry’s ‘Merry Christmas, Baby’

Optional:  Drink hot chocolate with marshmallows

We wish you and your family a very happy and healthy holiday season!

Epic Update

We wanted to take a moment to update you on what has been happening at PWG with our transition to APEX/Epic. First off thank you all for being patient with us as we navigate this new medical software…some things are easier for us, but it will take time for all of us to build new “muscle memory” and become efficient with this system. It will also take time for the UCSF APEX team to work out system kinks, and build out crucial functions we used to have.

Our number one goal in this process is to continue to deliver the same level of  excellent pediatric care that you have come to associate with PWG . We want to be transparent with this process, so here is this week’s update:

  • for patients being seen in the office we are making the following things a priority: getting patients registered efficiently, having patients seen by a physician in a timely manner, and making sure the post-visit procedures [such as shots or medications] are delivered both safely and efficiently.
  • we are continuing to process referrals and refill requests, please remember we can no longer send electronic prescriptions for controlled substances such as Ritalin.
  • we are trying to find the best way to route phone messages, our old system had functionalities that made certain things easier for us, we have not found our rhythm yet with the new system.  As you know our old patient portal has been shut down, and the new patient portal is not up and running yet for PWG.
  • we know many of you have experienced longer hold times, and we want to apologize for that. We take pride in being a responsive office and this is not ideal for anyone.
  • We hold multiple workflow sessions daily, each time refining our process a little bit further.  It is our goal to try and resolve these issues as quickly as we can.
  • we are NOT scheduling drop in flu clinics this week,  we will post those dates as soon as we can.

Change is hard, but change is good.  And ultimately we believe the changes we are going though will help us deliver the best patient care we can. Thank you all for your patience and understanding with us during this transition!

Office Hours 9/19 and 9/20

With the exciting change of EPIC proportions comes staff training.
We have done much training behind the scenes, but we will be closed Tuesday September 19th from 2:30 -6:00 and on September 20th will be closing the office at 5:00, for all staff training.

We apologize for the inconvenience.  We will resume our normal hours on Thursday, September 21st.

Important changes at PWG

As many of you know, we are now a partner practice with UCSF. As of September 20, 2017 we will be switching over to a new electronic health record called Apex [UCSF’s adaptation of EPIC]. This will mean some changes for our existing patients:

  • Our new patient portal will be called MyChart and is scheduled to go live in January 2018
  • As of September 20, 2017, our current patient portal will no longer be operational. If you currently use that to email your pediatrician or send us documents you will no longer be able to do so.
  • You can still call the office at 650.216.7794 and send us faxes at 650.217.7796
  • We will not be able to send electronic prescriptions for controlled substances [such as Ritalin] after 9/20/17, you will have to make arrangements with your pediatrician to pick up paper prescriptions for these types of medications at our office.
  • the Apex team at UCSF is working on getting us the ability to send electronic prescriptions for controlled substances, we will update you as we get more information.
  • we will still be able to send electronic prescriptions for non-controlled substances such as antibiotics.
  • We will post updates on our website, blog, Facebook page and twitter feed as we get more information.

We are sorry for any inconvenience this might cause, and we appreciate your patience as we transition to this new system.

It’s Going to be EPIC

We are excited to announce that we are a UCSF Partner community pediatric practice, and being a partner practice means switching our electronic health record software system. We currently use PCC [physician’s computer company] a small pediatric focused software company based in Vermont. As of September 20, 2017, we will be using Epic Electronic Health Information software as adapted by UCSF…otherwise known as APEX. This change will allow us to communicate more easily with other health systems that use an Epic system [such as Stanford and PAMF/Sutter]. Here’s a peek at what it takes to move over 4500 patient records into a new system:

  • We have a team of clinical and administrative superusers who have been meeting weekly with the UCSF implementation team since July to map out the new PWG system
  • Each staff member will go through at least 10 to 16 hours of training on how to use the new system
  • It will take approximately 100 hours for each member of our staff to abstract and transfer the necessary data from our current system to our new system.
  • It will take each physician about 100 hours to abstract and transfer clinical data on our patients.
  • As of 9/20/17 the current patient portal will no longer be in use. We expect to be able to enroll patients in MyChart [our new UCSF Apex patient portal] in January 2018.
  • We will need to verify demographic details with you after the Go Live date in September, so please be patient with us! It helps all of us when our records are accurate.

All of us at PWG have one goal: to make this transition as smooth as we can for our staff and our patients. We’ll be posting more updates as they become available.
