We are excited to announce that we are a UCSF Partner community pediatric practice, and being a partner practice means switching our electronic health record software system. We currently use PCC [physician’s computer company] a small pediatric focused software company based in Vermont. As of September 20, 2017, we will be using Epic Electronic Health Information software as adapted by UCSF…otherwise known as APEX. This change will allow us to communicate more easily with other health systems that use an Epic system [such as Stanford and PAMF/Sutter]. Here’s a peek at what it takes to move over 4500 patient records into a new system:
- We have a team of clinical and administrative superusers who have been meeting weekly with the UCSF implementation team since July to map out the new PWG system
- Each staff member will go through at least 10 to 16 hours of training on how to use the new system
- It will take approximately 100 hours for each member of our staff to abstract and transfer the necessary data from our current system to our new system.
- It will take each physician about 100 hours to abstract and transfer clinical data on our patients.
- As of 9/20/17 the current patient portal will no longer be in use. We expect to be able to enroll patients in MyChart [our new UCSF Apex patient portal] in January 2018.
- We will need to verify demographic details with you after the Go Live date in September, so please be patient with us! It helps all of us when our records are accurate.
All of us at PWG have one goal: to make this transition as smooth as we can for our staff and our patients. We’ll be posting more updates as they become available.
